Job description

SPIE Services Nigeria Limited is currently looking for a Maintenance Administrative and Document Officer to join its work force in Nigeria.

 

Key Words:

  • Maintenance / Administrative / Document Controler / PRODOM
     

 

Context and missions:

  • Reports directly to the Maintenance Methods Manager.

  • In charge of document management process definition and implementation from Contract award to hand-over of the installations and final archiving of records.

  • Interface with Company Document Management and IST Teams

 

Main activities:

  • Responsible for defining and implementing the procedures and methods to manage the Documentation on Egina and Akpo Operations (Numbering, Workflows, Data Management, Dematerialization and Archives) onshore and offshore in accordance with the users needs and the TOTAL specifications / tools.
  • Provide Field Operations Maintenance Team with all relevant information needed for Project reporting
  • Support to maintain and administer PRODOM Software
  • Liaise with GPP Group with Total HQ for the implementation of Total specifications in PRODOM
  • Defines and organises Document Management System (PRODOM) from definition of request to Contractors up to the delivery to Field Operations and archiving.
  • Develops and maintains a detailed project specific user-friendly guide for PRODOM system.
  • Implements, modifies and maintains PRODOM system in order to manage all flows of documents either in electronic form or hard copy.
  • Supports Document Controllers in each work location including training to ensure consistent implementation of PRODOM system in all project work locations.
  • Prepares the hand over of Documentation to Field Operations and the filing of Project document to archives.
  • Performs constant analysis of Contract produced documentation to check for compliance with Project standards regarding numbering, graphic charts, symbology and all other aspect related to document quality.
  • Monitors and reports on Contractor document submissions dates planned / actual and % complete.
  • Provides Field Operations Maintenance team with all relevant information required for weekly/monthly project reporting.
  • Close liaison with Contractors Document Controller staff on all matters concerning document control / PRODOM.
  • Write necessary procedures and provide PRODOM training advice and support to Maintenance Team.
  • Prepares and send a weekly documentation report and documents statistics to the relevant maintenance team
  • As IST correspondence alternative for Field Operations, shall Interface with IST on Field Operations IST related subjects
  • Provide other Administration support to Maintenance team

Profile

The holder of this post must have the following qualifications:

  • Experience in Electronic Document Management System ideally Documentum software PRODOM
  • Previous experience in a major project environment and used to co-ordinating a multi national team of document controllers
  • Good leadership skill, Team Work, Respect for deadlines

Minimum level of experience required

6 years or more

Required authorisations

Fluent in English (speaking and writing) with sound communication skills.


  • Good University Degree from a recognized University with at least 8 years of experience in large-scale industrial projects, preferably oil & gas projects

Languages

English (E-Native or bilingual proficiency)
